Terms of Use

Terms for using SiteReport responsibly.

These terms describe account use, customer content, acceptable use, AI-assisted functionality, external collaboration, service boundaries and the responsibilities that come with operating SiteReport.

This is a substantive pre-launch draft for product and website readiness. Before general availability, SiteReport must insert the final contracting/controller entity, legal contact, governing law/forum and any production-specific data-processing particulars. Those items are intentionally not invented here.

1. Agreement and eligibility

These Terms of Use govern access to and use of SiteReport. By accessing the service on behalf of an organization, you represent that you are authorized to act for that organization where applicable.

Paid customers may also enter an order form, subscription agreement or other written agreement. If a signed agreement conflicts with these Terms, the signed agreement controls to the extent of that conflict.

2. Accounts and authorized users

Users must provide accurate account information, keep credentials confidential and use their own accounts. Customers are responsible for managing workspace membership, project assignments and roles for their authorized users.

Account sharing, credential resale, unauthorized access attempts or use of another person’s account are prohibited. SiteReport may require re-authentication or revoke sessions when security conditions require it.

3. Service access and changes

SiteReport provides field-operations software that may include reporting, inspections, actions, incidents/risks, daywork, resources, operational finance, client/partner collaboration, AI assistance and related capabilities as made available under the applicable plan.

Features, limits and packaging may evolve. SiteReport should give reasonable notice of material changes that reduce purchased functionality where the applicable agreement requires it.

4. Acceptable use

You may not use SiteReport to violate law, infringe rights, upload malicious code, probe or defeat security controls, access another customer’s data without authorization, interfere with service availability, scrape the service beyond documented interfaces, or use the service to facilitate harmful or fraudulent activity.

You may not misrepresent AI-generated or automatically captured information as independently verified when the relevant workflow requires human confirmation.

5. Customer content and permissions

Customers retain their rights in content they or their authorized users submit to SiteReport. Customers grant SiteReport the limited rights needed to host, process, transmit, back up and otherwise handle that content to provide and secure the service.

Customers are responsible for having the lawful rights, notices and permissions required for personal data, photos, location evidence, documents, worker information, signatures and other content they choose to process.

6. Clients, partners and shared links

Client portals, partner access and secure share links are separate external-access mechanisms. They do not automatically grant internal workspace membership or broader access to drafts, internal review notes, administration, AI jobs or financial data.

Customers are responsible for deciding what information is published or shared externally and for revoking access when it is no longer appropriate. SiteReport may enforce expiry, scope and other safeguards on external access.

7. AI-assisted features

AI features may summarize, draft, classify or structure authorized operational information. AI output may be incomplete, inaccurate or inappropriate for a specific context and must be reviewed where the workflow requires human judgment.

AI does not replace the customer’s professional, safety, legal, engineering, accounting or compliance judgment. SiteReport does not give AI autonomous authority to approve or publish operational records merely because AI generated or transformed content.

Different plans may use SiteReport-managed providers or approved customer-supplied provider configurations. Additional AI-specific terms may apply to enterprise configurations.

8. Plans, fees and taxes

Paid plans, usage limits, renewal terms, taxes and payment obligations will be stated in the applicable checkout, order form or customer agreement. Public pricing should not be treated as final until SiteReport publishes production commercial terms.

9. Security and customer responsibilities

SiteReport maintains technical and organizational safeguards appropriate to the service as documented on the Security page and in applicable customer agreements. Customers must configure roles responsibly, remove users who no longer require access and protect credentials and devices.

No service is immune from every security risk. Each party must cooperate reasonably in responding to suspected security incidents affecting the service or customer data.

10. Intellectual property

SiteReport and its licensors retain rights in the software, product design, documentation, trademarks and related intellectual property. These Terms grant only the limited right to use the service during the applicable subscription or authorized-access period.

Feedback may be used to improve SiteReport without transferring ownership of customer content or confidential information.

11. Third-party services

SiteReport may interoperate with third-party infrastructure, AI providers, identity services, payment services or customer-selected integrations. Third-party services may have separate terms and privacy practices, and SiteReport is not responsible for services the customer independently selects outside SiteReport’s control.

12. Confidentiality

Non-public business, technical and operational information disclosed in connection with the service should be protected using reasonable care and used only for the permitted relationship. Formal enterprise agreements may contain more detailed confidentiality obligations.

13. Suspension and termination

SiteReport may suspend access where reasonably necessary to address security threats, abuse, legal requirements, material non-payment or material breach. Where practicable, notice and an opportunity to cure should be provided.

On termination, access ends subject to any export, retention, deletion, backup and legal-preservation obligations stated in the applicable agreement and Privacy Policy.

14. Disclaimers

Except for commitments expressly stated in an applicable signed agreement, SiteReport is provided on an “as available” basis to the extent permitted by law. SiteReport does not warrant that AI outputs, automatically captured context or customer-entered information are error-free or suitable for a particular professional decision.

15. Liability

The final production agreement must specify legally reviewed liability exclusions, caps and carve-outs appropriate to the contracting jurisdiction and commercial plan. Those financial/legal limits are intentionally not invented in this pre-launch draft.

16. Indemnity

The final production agreement must specify any customer and SiteReport indemnity obligations, including any treatment of intellectual-property claims, unlawful customer content or misuse. This pre-launch draft does not create an unreviewed indemnity allocation.

17. Governing terms and disputes

The final contracting entity, governing law, forum and dispute-resolution procedure must be selected and legally reviewed before general availability. Enterprise order forms may specify different agreed terms where appropriate.

18. Changes

SiteReport may update these Terms as the service and legal requirements evolve. Material changes should be communicated through appropriate notice, and changes should not retroactively override separately signed customer agreements.

19. Contact and launch particulars

Before general availability, this section must state the SiteReport contracting legal entity, registered address and legal/support contact. Until those particulars are finalized, use the SiteReport contact route through which product access was provided.
